Admin Coordinator-Services team, Core Diagnostics

Reporting to Service Manager

Fixed term contract role -1 year

Primary Function:

Provide required admin support need by service team.

Manage service stock of accessories and consumables.

Manage Data Cleanup (CMS Next, ITS, SPOC/GER42).

Initiate and drive service-related free of charge goods (FOC 8) – if required –

Manage Service Contracts, Quotations, Invoices, and follow up on outstanding ones.

Manage archives of service documents in Physical and/or Digital Formats with back up.

Maintain physical and digital archive of official records (training certificates, Calibrated devices like multimeters/thermometers…etc.)

Coordinate Abbott link implementation (Firewalls Ordering, Internet Routers, SIM Cards Activation & renewals.

Validate Instruments shipping instruction, Orders, & Invoices, prepare necessary documents & follow up on missing items.

Coordinate planned activities (PM’s, TSB’s, PHN’s, Abbott Link, Installation, Trainings) and follow up until implementation.

Coordinate and dispatch service-related materials & Documents (Instruments Stickers, Customer Letters, QD’s, Internal branded souvenirs).

Follow up on reagents, bulk solutions, and accessories availability during installation and validation activities with commercial team.

Prepare and coordinate SP’s Orders with reference to usage, run rate, months on hand, TSB’s, PM’s – MOH and get the necessary approvals.

Coordinate locally purchased items ordering and delivery (UPS’s, Printer, SIM’s, Water Unit’s, Compressors) within Abbott 3rd Party approved list & process.

Coordinate daily calls (Open calls in CMS Next as applicable), respond to customer calls, facilitate dispatching between call center and service team, & follow ups.

Manage Spare Parts – SP move internally and externally and ensure new orders entry in SPOC.

Follow up on SPs in case of back-orders B.O., manufacturer shortage and/or quality holds.

Ensure logistic support for SP’s delivery to engineers

Validate SP Usage impact in related systems (CMS, SPOC, Retrofit, Inventory) and perform needed corrective action on regular basis.

Generate SP Inventory report on monthly basis and lead physical inventory activities as needed (Minimum twice/Year/Country).

Prepare list of parts require actions and follow up on approvals (Missing, Mismatch, Excess, Obsolete, Write off).

Additional responsibilities apply as needed:

Manage SAP ordering process (Ordering, orders approval, Ship to/Sold to number’s updates, price list uploads and approvals, and lead communication needed – B.O., credit limit, Planners, area export operations, distributors …etc.) Initiate SPOC number requests for engineers and countries Support finance department with needed reports (Instruments, SP’s). Backup Country Admin for travel approvals, Hotels, Flights and CWT communication. Prepare service-related internal memos Abbott & Distributors. Coordinate returned instruments action plan (Redeploy, SEKAT Refurbish, Locally Sources Parts, Scrapping) Manage repaired/returned SP’s process (consolidation, Listing, & return to Germany) Support CMS next contracts entitlement activities Monitor Instruments without service activities in the last 12 Months, follow up with team & Open inquiry tickets as applicable. Lead Instruments verification activities, communication, & follow ups in the region.


General knowledge of diagnostics instruments field is preferred.

3 Years’ Experience in similar roles as Admin support/ coordinator or in Customer Service.

UAE Nationals only


Associate or bachelor’s degree or equivalent in business administration, secretary, hospitality, event management or any other related field.

Skills Required:

Comfortable to work on multiple software platforms (GER42, SAP, SharePoint, Teams, …etc.).

Excellent Commands in MS Office (Outlook, word, excel, PowerPoint).

Teamwork & Communication skills.
